1. Introduction

At Pixima Labs Limited, the owner and operator of the LearnSuite platform ("LearnSuite," "we," "our," or "us"), we are committed to protecting the privacy and security of your personal data. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you access our Learning Management System (LMS), School Management System (SMS), and related portals (collectively, the "Service") available athttps://learnsuiteedu.com.

By accessing or using our Service, you signify that you have read, understood, and agree to our collection, storage, use, and disclosure of your personal information as described in this Privacy Policy.

2. Information We Collect

  • Educational Data: Student IDs, grade levels, attendance records, assessment results, and course enrollment data.
  • Financial Information: This may include tuition payment history, other school-related payments, and details about school expenses (such as financial records provided by the school for budgeting, expense tracking, or reporting purposes). Note: We utilize secure third-party payment gateways for any payment processing and do not store raw credit card details on our servers.
  • Profile Data: Photographs (for ID cards or profiles) and parent/guardian contact details.

  • Device Data: We collect information about the device you use to access the Service, including the hardware model and operating system.

We use cookies and similar tracking technologies to track activity on our Service and hold certain information.

  • Essential Cookies: Required for the operation of the Service, such as secure login sessions.
  • Security Cookies: Used by our security partners to identify trusted web traffic and prevent malicious attacks.
  • Analytics: We may use tools to analyze user patterns to improve platform performance.

3. How We Use Your Information

We rely on the following legal bases to process your Personal Data:

  • Service Delivery: To provide the LMS/SMS functionality (grading, attendance, lesson planning).
  • Communication: To send system alerts, password resets, and academic updates.
  • Authentication: To securely verify your identity and manage user sessions.
  • Security & Optimization: To monitor system health, prevent fraud, and optimize performance.
  • Legal Compliance: To comply with educational regulations and data protection laws.

4. Data Storage and Infrastructure

4.1 Hosting & Security

Our Service is hosted on Amazon Web Services (AWS). We utilize a robust architecture to ensure data security.

  • Secure Cloud Infrastructure: Data is stored in secure databases with encryption at rest.
  • Network Protection: We utilize industry-standard Content Delivery Networks (CDNs) and security vendors to optimize performance and protect our system against malicious attacks (such as DDoS). These providers may process technical data, such as your IP address, solely for security purposes.

4.2 International Data Transfers

Our servers and third-party service providers may be located in various regions (e.g., the United States). By using the Service, you acknowledge that your information may be transferred to and processed in jurisdictions with different data protection laws than your own. We ensure appropriate safeguards are in place for such transfers.

5. Data Retention

We retain Personal Data only for as long as necessary to fulfill the purposes set out in this policy.

  • School Records: Retained for the duration of the educational institution's subscription and in accordance with their specific data retention policies or legal requirements.
  • Backup Data: Encrypted backups may be retained for a limited period for disaster recovery purposes.
  • Logs: Technical logs (IPs, access logs) are retained for a limited period for security auditing.

6. Disclosure of Your Information

We do not sell your personal data. We may share information with:

  • Service Providers: Third-party vendors who provide infrastructure, security, and email delivery services.
  • Educational Institutions: The school or organization that granted you access to the Service has access to your educational records.
  • Legal Requirements: If required to do so by law or in response to valid requests by public authorities (e.g., a court or government agency).

7. Security of Your Data

We use administrative, technical, and physical security measures to help protect your personal information. These include:

  • Encryption: Data is encrypted in transit (using SSL/TLS) and at rest to ensure it remains unreadable if intercepted.
  • Role-Based Access Control (RBAC): We implement strict RBAC policies within the application. This ensures that users (such as students, teachers, and administrators) can only access the data and features necessary for their specific role.
  • Strict Internal Access: Access to our backend infrastructure and production data is strictly limited to authorized engineering staff on a "need-to-know" basis for maintenance and security purposes only.
  • Vulnerability Monitoring: We utilize automated security tools to continuously monitor our systems for potential threats or unauthorized access attempts.

8. Your Data Protection Rights

Depending on your location and applicable data protection laws, you may have the following rights:

  • The right to access: You can request copies of your personal data.
  • The right to rectification: You can request that we correct any information you believe is inaccurate.
  • The right to erasure: You can request that we erase your personal data, subject to certain exceptions (e.g., mandatory student record retention).
  • The right to restrict processing: You can ask us to restrict the processing of your data.

To exercise these rights, please contact us at [email protected].

9. Children's Privacy

Our Service is used by schools and may be accessed by students under the age of 13. We collect and process student data solely on behalf of the educational institution and in accordance with their instructions. We do not use student data for marketing or advertising purposes.

10. Homeroom Browser Extension

Homeroom is a free Chrome extension that adds search, filters and folders to Google Classroom. It is distinct from the Service described above and, because it runs entirely inside your own browser, sections 2 through 8 of this policy do not apply to it. This section is the complete privacy policy for Homeroom.

We collect no data through Homeroom. The extension has no sign-in, requests no Google OAuth scopes, and sends nothing to Pixima Labs Limited or to any third party. There is no Homeroom server, no analytics and no tracking of any kind. Homeroom is read-only: it never archives, deletes, unenrolls, invites, posts or changes anything in your Google Classroom account.

10.1 Information Stored on Your Device

The following is saved in your browser's local extension storage, kept separate for each signed-in Google account, and is never transmitted anywhere:

  • Folder names and which class belongs to which folder.
  • Favorites, the private nicknames you give a class, and classes you have hidden from your own list.
  • Which classes you opened recently.
  • A class-to-teacher index, built only from the Google Classroom People pages you ask Homeroom to read.
  • The email address of the Google Classroom account you are signed in as, used solely as the local key that keeps each account's settings separate.

10.2 Roster Information

While you have a class's People page open, the student names visible on that page may be copied into your browser's session storage so the roster can be searched from the side panel. Chrome discards session storage when the browsing session ends. Homeroom does not persist student rosters, grades, marks, assignments, announcements or class codes.

10.3 Permissions and Removal

Homeroom requests only the browser permissions needed to do the above: local storage for your own preferences, the Chrome side panel, and access to classroom.google.com so it can read the class list from the page you are already viewing. No other website is requested. Uninstalling the extension from Chrome removes everything it has stored. Because none of it ever left your device, there is nothing for us to delete on your behalf.

Google Classroom is a trademark of Google LLC. Homeroom is an independent tool and is not affiliated with, sponsored by, or endorsed by Google.

11. Changes to This Privacy Policy

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date.
